Ensure document security with PaperPort 12 Professional
Keeping information safe and secure is a top priority for today’s organisations. And for some, document security is not just a priority, it’s a regulatory requirement. Unlike many PC document management systems, PaperPort Professional 12 provides security features that protect sensitive and confidential information, while ensuring compliance with expanding government regulations. Why put your information at risk? Safeguard all your scanned paper documents and electronic files by turning them into secure PDF documents with PaperPort.
- PDF passwords: Control which employees can access specific PDF documents with passwords. You can implement password protection for viewing and/or editing to ensure that only authorised individuals have access to sensitive documents.
- PDF document encryption: Paperport Professional enables you to encrypt PDF documents to ensure information integrity. Only authorised individuals with knowledge of the appropriate algorithms can decrypt the document to make its contents readable. This way, even if a document is accessed by an non-authorised party, its contents remain protected.
Find all your documents quickly and easily with PaperPort 12 Professional
Imagine the productivity gains you’d achieve if your staff spent less time searching for information and more time using it. With PaperPort Professional 12, you can create searchable PDFs from any scanned paper document and electronic file. PaperPort utilises the world’s most accurate Optical Character Recognition (OCR) technology with hyper-binary conversion to ensure that all PDF image content is searchable. So you can find exactly what you want when you need it.
- Find documents instantly using standard search engines: Because PaperPort saves all your scanned documents and electronic files as fully searchable PDF files on your digital desktop, finding what you need is always fast and easy. All you have to do is enter keywords or phrases into Windows® Desktop Search or Google® to quickly locate a specific file on your computer or shared network.
- Search for information locked in scanned, image and PDF files: If you want to search using PaperPort instead of Windows Desktop Search, then PaperPorts’ All-in-One Search is the answer. It will actually “read” all your files with the built-in OmniPage Search Indexer so you can search for a word contained INSIDE any document, including scanned paper. All-in-One Search enables everyone in your office to find any document – whether it’s local or on a network folder. Search by content, keyword or annotations.
- Index on your schedule: PaperPort Professional’s flexible Index Manager allows you to take advantage of non-peak processing times by scheduling when and how PaperPort will convert all your image files to searchable documents using the built-in OminPage Search Indexer.
- Locate important folders immediately: PaperPort Professional allows you to bookmark your commonly used folders so you can get to your documents right away. A “back” button makes it easy to revisit recently viewed folders eliminating wasted time navigating to information.
How-To Guide: Assemble Documents in PaperPort

1. Stacking
You can stack a group of PDF files into a single PDF.
You can stack a group of PaperPort images (MAX files) into a single MAX.
![]()
- Move the files to be stacked to a single folder.
- Select the files in the order you want them in the stack.
- Click the Stack button
and choose Stack in the drop-down list.
or
Choose Stack in the shortcut menu.
Source files do not remain after stacking – make copies before stacking if you want to keep the sources.
Other items (Word, Excel, PowerPoint, image files, etc.) can be combined into a PDF stack. See panels 4 - 7.

2. Unstacking
You can unstack any PDF or MAX file – it does not matter whether it was previously stacked or not. You can unstack the current page or all pages. The result of unstacking all pages is always a set of single-page files.
![]()
Click the file to be unstacked. - Choose Unstack in the shortcut menu and choose an option.
or
Click the Unstack button and choose an option.
or
Choose Unstack in the Item menu and choose an option.
The multi-page file does not remain after unstacking. A single unstacked page is removed from the stack. The unstacked files and item names take numerical suffixes.

3. Example
Scenario:
You receive a 25-page PDF.
You want to send a smaller PDF with pages 3, 10-13 and 22.
| 1. Unstack all pages. | ![]() |
| 2. Select. | ![]() |
| 3. Stack. | ![]() |
| 4. Send. | ![]() |
See online help for another way to perform this operation without unstacking.
